The transition

The developer (Rufus Road Partners / Graybrook Homes) is currently the only HOA board member. Before he hands control to homeowners, we want his remaining obligations identified and resolved, so repairs don't come out of our reserves.

Close out the developer's obligations

Community punch list, county and state sign-offs, a full review of the finances, and a formal meeting with the developer.

Prepare a homeowner board

Find volunteers, decide how the board will be elected, and plan the handoff of vendors and accounts.

2 · After turnover

Run the HOA

The elected board takes over day-to-day operations, communication, and any updates to the bylaws.

    Community punch list

    Anything the developer should fix or finish before he steps away. Every item goes on one shared list, so we meet him with the whole community's list, not one person's.

    Tips for a useful submission

    • Be specific about location: the nearest house number, intersection, or entrance.
    • Add a photo if you can. Email it if the form won't take it.
    • Note anything that's a safety hazard; those go to the top of the list.
    • Already on the list? Submit it anyway with your location. Repeat reports help show priority.
    Not online? Hand a written note to a neighbor who is, or bring it to the next meeting. Every household's items count.

    Documents

    Shared folders, maintained by volunteer homeowners. Most are view-only; to add a document, email it and we'll file it.

    Meetings

    Community calls during the transition. Notes and recordings are posted after each one.

    Get involved

    This is a volunteer effort. A few hours from people with the right background makes a big difference, especially attorneys, accountants, engineers, and anyone home during the day.

    Walk-through team

    Walk streets and boundaries with a site map and mark items for the punch list.

    Financial review

    Go through budgets, bank statements, invoices, and the reserve history line by line.

    County & records

    Request plats, permits, and stormwater approvals from Lincoln County and NCDEQ.

    Neighbor outreach

    Keep neighbors who aren't online informed, and help deliver flyers.
